All about the function

As a receptionist at ProRail in Utrecht, you’ll be the first point of contact for visitors and anyone who calls. You’ll answer the phone, respond to questions, and transfer callers to the right person or department. You’ll also welcome guests, log their arrivals, and issue visitor passes—always in a friendly and professional manner, and without keeping anyone waiting too long.

You’ll work closely with your colleagues, security, and the on-site facility manager. When needed, you’ll assist with various facility-related tasks to ensure that everything at the location runs smoothly. The combination of reception duties, phone support, and light facility support makes this role versatile and pleasantly varied.

Your Day as a Receptionist at ProRail in Utrecht

You’ll start your shift within walking distance of Utrecht Central Station, the beating heart of the Dutch rail network. When you arrive, you’ll check the visitor schedule, review any special notes, and make sure the reception area looks impeccable. Then the day can begin.

The first visitors are checking in. In between, the phone rings; you answer calls, transfer them to the right department, and take messages for employees who aren’t available at the moment. You switch effortlessly between the front desk and the phone, and that gives the day a pleasant rhythm.

At the end of your shift, make sure to hand over your duties properly and follow up on any open reports. Then hop on the train or bus—the office is within walking distance of Utrecht Central Station, so it’s a breeze.

Our ideal candidate

There are two schedule options; together, we'll figure out which one suits you best:

• Option 1: available on Wednesdays from 6:30 a.m. to 12:30 p.m., Thursdays from 8:00 a.m. to 12:30 p.m., and Fridays from 8:00 a.m. to 6:00 p.m. = 20.5 hours per week;
• Option 2: available on Thursday from 6:30 a.m. to 12:30 p.m. and Friday from 8:00 a.m. to 6:00 p.m. = 16 hours;
• Both options start immediately!
• You are willing to use public transportation; traveling to the location by car is not an option;
• You have experience in reception work, telephone support, hospitality, or another customer-facing role;
• You have a professional and presentable appearance as a host or hostess;
• You have an excellent command of the Dutch language, both spoken and written,
• You are proficient with Microsoft Office and digital record-keeping systems;
• You are reliable, punctual, and willing to take on an active role as an emergency response team member.
